TYPE OF MEETING: Regular Board of Trustees Meeting

PRESENT: Don Healy – Chair, Jan McGonagle – Treasurer, Christine Haase – Secretary, Inga Cullen – Director, Angel Nicoletti – Alternate

ABSENT: Debbi Kingsbury – Alternate

PUBLIC PRESENT: None

 

  1. Call to Order: Don called the meeting to order at 7:10 pm.
  • Roll Call - Christine, Don, Angel, Jan, Inga
  •  
  • Correspondence - Inga has been in contact with Hoopla.  We are very close to being out of credit.  $400 in credit was purchased in 2019.  The decision was not to replenish the Hoopla account.
  • Public Comment - None

 

  1. Reports
  • Financial:  The financial reports ending October 31, 2021.  The Trustees had a discussion on the allocation in regards to grants in the budget.  A line item will be created for digital resources in the budget.  This will cover our digital services such as Overdrive. 
  • Library Director: The Director’s report was shared digitally to The Trustees and then reviewed verbally at the meeting.
  • Review of Action Items & Directives:
  • Jan and Inga will meet to discuss discretionary library funds due to the change in fiscal year. Jan and Inga met to discuss where the library’s finances are currently at.
  • Inga will contact Brian Wakeman to get a quote for scraping/painting the exterior of the building.  Brian Wakeman has not emailed Inga back in regards to the quote.  She will reach out again but we have missed our window
  • Inga will reach out to the Library Association to see the legality of asking patrons about vaccination status.  While this is perfectly legal, it is not advisable. No action taken.
  • Don will contact Rex Rodanas to re-crushed stone along the perimeter to prevent backsplash on siding.  Rex will not be responsible for the Library’s outside maintenance. 
  • Don will contact Michelle Pong re extending the deadline for preliminary budget. Don spoke with Michelle  about extending the preliminary budget. 
  • Don will send NH Attorney General’s office statement from 2020 Annual Report re trust funds. Don did not get to the Attorney General’s Office yet.  The current annual report is not on the website.  

 

  1. Old Business
  • Fire Alarm Situation - Inga will contact Countrywide in regards to the ongoing situation with the alarm.  We will explore other options for a security system.
  • Ooma Status - Ooma has been in place and Inga is satisfied with the service.
  • Update on Bequest of $5,000 - There is nothing new to report on this topic.  We will revisit.
  • Update on Staff Additions - The update on library staff additions was covered in Directors report.
  • Update on Web Development - The library’s new website should launch by the end of the week. 
  • FY 2021-22 Preliminary Budget - The preliminary budget was reviewed.  New line items were created to better define the expense category.  Our biggest concern is the cost of heating, as propane prices are rising globally . 
  1. New Business
  • Narrative for Annual Report - We will begin to outline the narrative for the annual report.

  • Jan will research if municipal funds can be invested in an index fund, rather than a municipal investment pool
  • Inga will check on the rules of Library Volunteers with NHLTA
  • Angel will scan the Library’s page from the Town Report and send to Don to submit
  • Don will ask Michelle Pong about insurance coverage requirements for the library if we change our security system
